We’re looking for a Finance Manager to ensure we have the organisational and financial capacity to deliver our ambitious vision for the future.

The main purpose of this role is to ensure the financial workings of the organisation, run smoothly and efficiently. Working closely alongside Deborah Potts, the CEO, the role will ensure the needs of a growing organisation are suitably met. In addition, we are growing rapidly and moving the organisation from a largely freelance structure to one where most staff are employed. The Finance Manager will work with the CEO to oversee this transition and support with HR policies.

The Music Works is a Gloucestershire-based registered charity that transforms lives through music. We’re specialists in working with young people in challenging circumstances to help them reach their full potential in music, in learning and in life. We work with over 3,000 young people a year in schools and our three community rehearsal spaces in Cheltenham, Gloucester and the Forest of Dean. We specialise in bands, technology and production, singing and songwriting, rap and beatboxing.

We are currently funded by a range of charitable and governmental bodies including Make Music Gloucestershire, the county’s music education hub, run by the County Council, and Youth Music.

Main responsibilities of the role

Financial:

1. Preparation of the annual budget (in conjunction with our Treasurer and freelance Financial Director).

2. Timely completion of all day to day accounting and finance activities of the charity, ensuring records are complete, system integrity is maintained and controls are properly adhered to.

3. Carrying out the accounting month-end processes, ensuring key reconciliations are done.

4. Preparation of monthly financial reports and scrutiny of restricted and unrestricted funds to ensure reserves policy is observed.

5. Regular review of budgets with project managers to ensure changes in circumstances are accurately reflected in projections.

6. Systems support to budget holders to help them understand and make the most of the QuickBooks accounting system.

7. Financial assistance with funding applications, management and reporting.

8. Assistance with the production of the statutory annual accounts, liaising with the auditor as required.

9. Performance of all payroll processes including communications with HMRC and the charity pension scheme.

Operational:

1. Oversight and implementation of administration and HR policies and procedures including payroll, pension and recruitment.

2. Provision of secretarial support, including preparation of Board reports and minute taking in Board meetings.

Person Specification:

We are looking to appoint against the following criteria:

• Considerable experience of bookkeeping (including using QuickBooks).

• Experience of budget management. • Experience of payroll administration.

• Good working knowledge of Microsoft Excel

• Excellent attention to detail.

• Good interpersonal skills and the ability to support non-finance staff to manage their budgets

• Ability and desire to self-organize and work flexibly.

• Drivers license and access to a car

• Able to come to Gloucester for monthly meetings

• A commitment to support the arts sector in Gloucestershire.

Details of the role:

This is a permanent part-time role. The salary would be £25K – £28K pro rata for two days a week – dependent on experience. We anticipate the two days a week will be worked flexibly across the week in liaison with the CEO. Deborah Potts, CEO, will provide support and be the main point of contact for this role but the role will also work closely with other members of the senior team – Malaki Patterson, Creative Director (community), Ben O’Sullivan, Creative Director (education) and Anita Holford, Communications Director. The role will be further supported by an experienced charitable finance director and our Board’s Treasurer. We are flexible as to where the job is located although we would expect some time to be spent in our Gloucester studio when it is open. Home working is fine.
